Position: Virtual/Remote Front Desk Scheduling Assistant
Type: Part-Time (Up to 20 hours per week)
Location: Remote
Reporting To: Operations Manager

Role Overview:

As a Virtual/Remote Front Desk Scheduling Assistant, you will play a crucial role in managing the scheduling system for our students and providing exceptional customer service through phone and text interactions. This position requires meticulous attention to detail, strong organizational skills, and a customer-centric approach.

Responsibilities:

Scheduling Management:

  • Maintain and update the class schedule for students aged 7-17, ensuring accurate and timely changes, rescheduling, and cancellations.
  • Collaborate with instructors and the operations team to facilitate seamless transitions and updates to the class schedule.
  • Ensure a balanced and optimal class schedule to meet the needs of both students and instructors.

Customer Interaction:

  • Respond promptly and professionally to incoming phone calls and text messages during operational hours.
  • Provide accurate and detailed information about our programs, class availability, and other inquiries to parents, guardians, students, and potential clients.
  • Address inquiries, concerns, and requests from parents and students in a courteous and helpful manner.

Database Management:

  • Maintain an accurate and up-to-date database of student information, class schedules, and relevant records.
  • Assist in administrative tasks related to student enrollment, attendance tracking, and class materials.

Exceptional Customer Service:

  • Uphold theCoderSchool's commitment to delivering outstanding customer service, ensuring a positive experience for all interactions.

Qualifications:

  • Previous experience in a customer-facing role, such as customer service, reception, or front desk, is highly preferred.
  • Strong communication skills, both written and verbal, to convey information clearly and professionally.
  • Excellent organizational skills and attention to detail to manage scheduling changes accurately.
  • Proficiency in using virtual communication tools, scheduling software, and databases.
  • Passion for education, technology, and working with students.
  • Ability to work independently and efficiently in a remote setting while maintaining consistent communication with the team.
  • Flexible availability to work during operational hours, including weekday afternoons (3pm - 7pm) and weekends (10am - 3pm).
